Long service awards: how it works

From the first anniversary to the twenty-fifth, handled

This is what happens after you say yes: one setup call, every milestone tracked, every reward chosen by the employee and arranged by a human concierge. Here is the process step by step.

What a long service award scheme needs to run itself

A scheme fails in one of three places: the date is missed, the reward does not fit the person, or the admin lands on one HR person's desk every month. The Mojo process is built to remove all three.

The date is handled by the Occasions Engine, which holds every employee's start date and surfaces each milestone before it happens. The reward is handled by the employee, who chooses, and by the concierge, who arranges it. The admin is handled by Mojo: one invoice, one dashboard, no catalogue, no inventory, no local suppliers.

What you keep is the part that matters: deciding which milestones your company recognises, what each one is worth, and the words the manager says on the day.

The process, step by step

Setup takes one call. After that the scheme runs on its own, with a person at Mojo behind every reward.

01

Setup call: milestones, tiers, data

In a 30-minute call we agree which years of service you recognise and the reward value for each tier, and you import your employee start dates once, or connect your HRIS. Your branded redemption site is set up the same week.

02

Before the anniversary: the alert

The Occasions Engine surfaces each upcoming milestone and the manager gets a specific alert with the employee's name, the milestone and a suggested message. Nothing is left to memory or a spreadsheet.

03

On the day: the award arrives

The employee receives a personalised message from their manager with their long service award. No postal address, no delivery window, and the value is never shown. It works the same in London, Lisbon or Singapore.

04

After the day: they choose, we arrange

The employee tells us what would mean something to them. A human concierge books the trip, the table, the retreat or the event, or arranges a product delivered to their door, and looks after every detail until it is enjoyed.

05

Reporting: proof for HR and Finance

The Culture Dashboard shows who was recognised, what they chose and when it was enjoyed. Finance sees one invoice and the tax documentation for each country.

What you get, and what you no longer do

The scheme stays yours. The work does not.

You decide the policy

Which milestones count, what each is worth, and whether early years such as 1 and 3 are included. Mojo helps you set tiers you can explain to Finance and to employees.

You no longer track dates

Start dates are imported once or synced from your HRIS. Every anniversary is surfaced automatically, with the manager alerted in time.

You no longer manage suppliers

No catalogue to maintain, no stock to order, no local vendor in each country. One programme, one invoice, one standard of reward everywhere.

You no longer chase redemptions

Rewards never expire and reissues are free, so there is nothing to chase. The dashboard shows what has been enjoyed and what is still open.

Who does what

A clear split between your team, the employee and Mojo.

Your HR team

Sets the milestones and tiers, imports the data once, and approves the manager message templates.
30 minutes to set up

The manager

Receives the alert, personalises the message, and presses send on the day. That is all.

The employee

Chooses the reward that means something to them, alone or shared with up to 4 people.

The Mojo concierge

Books and arranges the chosen experience or product, and handles support in the employee's language.
A person, not a portal

The Occasions Engine

Holds every start date and surfaces each milestone before it happens.

The Culture Dashboard

Shows recognition health, the milestone pipeline and redemption, ready for leadership.

Questions about the process

How long does setup take?

One 30-minute call to agree milestones and reward tiers, plus the employee data import or HRIS connection. Your branded redemption site is ready the same week, and the first gift is delivered within 7 days of onboarding or month one is free.

How do employee start dates get into Mojo?

Either a one-off data import during the onboarding call, or a connection to your HRIS so new joiners and leavers are picked up automatically. See the HRIS integration page for supported systems.

What does the employee actually receive?

A personalised message from their manager with a Mojo reward for their milestone. They then tell the concierge what they would like, from a trip or a dinner to a product delivered to their door. The value is never shown to them.

What happens if an employee leaves before using their award?

Rewards never expire, so an award already given stays usable. Mojo cannot see who has left your company, so for budget redistribution you tell us and we adjust the programme.

Can managers add a personal message?

Yes. The alert includes a suggested message that the manager personalises before sending. The message arrives with the award on the day.

Does the process differ by country?

No. The same steps run in every country you employ people in, with tax documentation provided for each. The employee chooses from what exists where they live, and the concierge works in their language.

One setup call, every milestone tracked, every reward chosen by the employee and arranged by a person: a long service award scheme that runs itself in every country.
